Free Freelance Subscription Expense Tracker

What this is

Who it's for: Freelancers paying for several software and service subscriptions who want renewal dates and true yearly costs in one place.

See every tool you pay for, when each one renews and what it really costs per month and per year, in one Excel tracker built for freelancers.

Free in full — download it and use it on your own freelance work.

Renewal dates and costs are only as accurate as what you type in. Always confirm the renewal date and cost with the provider before cancelling or relying on a date shown here. This file stores nothing online and connects to no bank or billing account. It is a record-keeping tracker, not a tax or accounting tool.

User manual

  1. Open the workbook in Excel or LibreOffice and delete the five rows labelled SAMPLE.
  2. List each subscription with its cost per billing period, billing cycle (Monthly, Quarterly or Yearly) and next renewal date.
  3. Read the renewal alert for each row: Expired, Renewing within 7 days, Renewing within 30 days, or OK.
  4. Use the Summary sheet totals and the Keep, Cancel or Review decision column to decide what to keep.

Questions

What does each row calculate?

Days until renewal, a renewal alert, the monthly equivalent cost and the yearly cost for that subscription.

What does the Summary sheet add up?

Total monthly equivalent and total yearly cost, counts of subscriptions by Keep, Cancel or Review decision, and how many renewals fall within the next 30 days.

Can I note which client a cost belongs to?

Yes. The 'Allocated to (client / project)' column is a note field for that, but it does not automatically split one cost across several clients.

What if a formula shows an error or a total looks wrong?

First check that the billing cycle is spelled exactly Monthly, Quarterly or Yearly and that the renewal date is a real date.

Does it connect to my bank or billing accounts?

No. It stores nothing online and connects to nothing. You type the figures in yourself.
